• Contact & inquiry submissions: your name, email address, company, phone number, project description, service interest, budget range, timeline, how you heard about us, and any files you voluntarily attach (e.g. briefs, specs, mockups).
• Account & authentication data: your name, email address, and profile photo when you create or sign in to your client dashboard via our authentication provider (Clerk).
• Project communications: messages, files, proposals, feedback, and other content you send through the client dashboard, including real-time chat with our team.
• Payment information: billing-related data processed on your behalf through Stripe. We do not store raw card numbers — Stripe handles payment data directly under their own security standards.
• Meeting details: scheduling information and notes associated with discovery or project calls.

Information collected automatically:

• IP address, browser type, and pages visited — used solely for security, abuse prevention, and performance monitoring.

Information from third parties:

• Basic profile data (name, email, profile photo) provided by Clerk when you authenticate through their service.
• Payment and subscription status data relayed from Stripe.

3. How We Use Your Information

We use the information we collect to:

• Evaluate, respond to, and follow up on project inquiries
• Provide, operate, and improve the client dashboard and related services
• Manage project milestones, proposals, deliverables, payments, and retainer engagements
• Communicate with you about your project — including emails, chat, and meeting scheduling
• Process invoices, payments, and subscription billing cycles
• Monitor platform uptime and prevent abuse or unauthorized access
• Maintain internal activity logs for accountability and project history
• Comply with applicable legal obligations

We do not use your information for advertising, profiling, or behavioral tracking, and we do not share it with third-party marketers.

We do not sell your personal information. We share it only in the following limited circumstances:

• Authentication (Clerk): we use Clerk to manage secure sign-in. Clerk processes your email and identity data in accordance with their privacy policy.
• Payments (Stripe): we use Stripe to process invoices, subscriptions, and retainer billing. Stripe receives payment-related data necessary to complete transactions.
• File storage: project attachments and uploaded files are stored in Cloudflare R2 object storage. Files are access-controlled and served only to authorized parties.
• Email delivery: we use a third-party email service to send confirmations, notifications, and project-related communications. Only the data necessary to send a given message is shared.
• Legal requirements: we may disclose your information if required by law, court order, or to protect the rights, property, or safety of MOATIZE, our clients, or others.

Any third-party service providers we engage are contractually required to handle your data securely and only for the purposes we specify.

5. File Uploads & Attachments

You may upload files (such as documents, images, or design assets) through the contact form or client dashboard. These files are stored securely in Cloudflare R2. Access to uploaded files is restricted to MOATIZE team members and the client associated with the project. We do not use uploaded content for any purpose other than fulfilling your project engagement.

6. Data Retention

We retain your information for as long as necessary to fulfill the purposes described in this policy, manage your project engagement, and comply with applicable legal or contractual obligations. Specifically:

• Contact form submissions and inquiry records are retained for the duration of our evaluation and relationship period.
• Project data — including messages, files, milestones, proposals, and payment records — is retained for the full duration of the engagement and for a reasonable period after completion.
• Account data is retained as long as your account is active. You may request deletion at any time.

7. Your Rights

Depending on your location, you may have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate or incomplete data
• Request deletion of your personal information
• Object to or request restriction of certain processing
• Request a portable copy of your data in a common format
